CALENDAR PROCESSING OF AUDITS

In order for the controls to be entered into the calendar in the control module, it is necessary to first edit the e-mail settings.

Controls can be processed into the calendar in 2 different ways.

1- By publishing the audit plan, all the audits under the plan can be recorded in the calendar of the people suitable for the roles to be selected.

2- By publishing the audit, only the selected control can be recorded in the calendar of the people suitable for the roles to be selected.

1- For the audit plan to be published and all the audits under the plan to be recorded in the calendar;

Open the E-mail settings page > System Infrastructure Definitions > Audit Activities. On the page that opens, select the "Publish Audit Plan" line and click the "Edit (Modify)" button at the top right.

As you have seen in the screenshot at the top of the page that opens, only the roles selected in the red area should be selected for you.

All lead auditors in the plan --> Provides e-mail to the lead auditors of all the audits you have added under the audit plan and creates an e-mail for inclusion in the calendar.

The entire audit team in the plan --> Provides e-mail to the people in the audit team of all the audits you have added under the audit plan and creates mail for inclusion in the calendar.

All audited unit responsible in the plan --> Provides e-mail to the audited unit responsible for all audits that you have added under the audit plan and creates mail for calendar processing.

All things to be notified in the plan --> Provides mail to the people you have added to the notification part of all the controls you have added under the audit plan and creates mail for inclusion in the calendar.

NOTE: Only for roles where you do not want mail to go to the calendar to be processed to the calendar will only need to be removed and only the e-mail to go field will be checked.

Open the Integrated Management System > Audit Activities > Audit Plans page to publish the audit plan. After selecting the inspection plan you want to publish on the page that opens, click the "Publish" button at the top right. After clicking the Publish button, e-mails suitable for the roles you have selected in the screenshot above will be created and sent to the relevant users.

2- For the audit to be published and recorded in the calendar;

Open the E-mail settings page > System Infrastructure Definitions > Audit Activities. On the page that opens, select the "Control Publishing" line and click the "Edit (Modify)" button at the top right.

As you have seen in the screenshot at the top of the page that opens, only the roles selected in the red area should be selected for you.

Audit - Lead Auditor --> Provides e-mail to the lead auditor of the selected audit and creates an e-mail for inclusion in the calendar.

Audit - Audit Team --> Provides e-mail to the people in the audit team of the selected audit and creates an e-mail for inclusion in the calendar.

Audit - Audited Unit Officers --> Provides e-mail sending for the audited unit responsibles of the selected audit and creates an e-mail for the calendar to be processed.

Audit - To be notified --> Provides mail sending for the users you have added to the notification field of the selected control and creates mail for inclusion in the calendar.

Audit - Administrators --> Provides mail to users who are module administrators on the control module for the selected control and creates mail for processing in the calendar.

NOTE: Only for roles where you do not want mail to go to the calendar to be processed to the calendar will only need to be removed and only the e-mail to go field will be checked.

Open the Integrated Management System > Audit Activities > Audit Plans page to publish the audit. On the page that opens, after selecting the inspection plan to which the control you want to publish is connected, click the "Controls" button at the top right. On the page that opens, check the box on the left of the control you want to publish, and then click the "Publish" button in the upper right. After clicking the Publish button, e-mails suitable for the roles you have selected in the screenshot above will be created and sent to the relevant users.
