Department Maintenance

An existing department in the organization can be closed, merged with another department, and received a new ID and definition. In such a situation, the situation of the current department becomes passive. The Department Maintenance field under the Organization Maintenance heading is used to define a new one to replace the passive department.

Clicking the Department Maintenance area will list any records that have already been defined.

This list of records can be searched, sorted by its columns, or a new record can be added.

To add a new definition, press the "New" button in the upper left corner of the list of records. Pressing the New button will open a blank page in the side panel, where the "No" and "New No" fields are expected to be filled.

When the department records are selected from the No and New ID fields and the save button on the page is pressed, the definition process is completed.

When the No and New No fields are selected and the Save button is pressed, the newly defined record will be added to the list of records. After this process, the system will carry out the process through the new department in the steps where the inactive record passes.

Best Practice

CORRECT USAGE
  • From the New No field, an active department should be selected to replace the inactive department. In workflows, steps where the passive department is used will now be executed with the department selected from the New ID field

  • This process is used to prevent errors from being received and processes from stopping if a department record that has been previously used in workflows falls into passivity. If the departmental record is not inactive, this definition of maintenance is not made
